Options for offering summer exams

Exams during regular class time

Instructors may hold an exam on the last day of classes.

It is not necessary to make separate exam room booking arrangements unless the instructor feels that the classroom used for the course is too small for exam purposes, in which case it is the instructors/departments responsibility to make the room booking arrangements. It is also the responsibility of the instructor/department to provide exam booklets on the day of the exam.

Exams during official examination periods

Departments only need to inform Scheduling Services of exams that are to be scheduled by our office during the official Summer Session exam period(s).

There are three official exam periods in the Summer Session. Each exam period is very short as only five exam blocks are available for exam scheduling: one evening exam block on Fridays at 7:00 pm and four exam blocks on Saturdays at 8:30 am, 12:00 pm, 3:30 pm, and 7:00 pm.

Due to the high possibility of exam conflicts, instructors will not be able to choose their exam times as they have in the past. Scheduling Services will assign each course exam to an exam block.

Exams for courses with non-typical course end dates

Many summer courses have off-sequence start and end dates. Courses that do not end on one of the regular term end dates may not be able to hold their exams during the official exam periods. In these cases, the instructor may wish to hold the exam on the last of of class or make other exam arrangements (see below). 

In all cases, the instructor/department is responsible for all exam arrangements including making the room booking and providing exam booklets on the day of the exam.

Other exam arrangements

Instructors who wish to schedule their own examinations outside of the formal examination dates and not on the last day of class should inform the students as early as possible. Students must be informed of exam dates by the first day of class at the very latest. 

The instructor/department is responsible for all exam arrangements including making the room booking and providing exam booklets on the day of the exam. This also applies to examinations scheduled during the official examination periods, but outside the examination start times offered by Scheduling Services. Arrangements for exams that do not adhere to standard start times are the responsibility of the department.

Soliciting course section exam information

The department exam contact solicits course exam requests from instructors using the Examination Request Form.   These requests include things like exam room assignment, exam duration, common exam rooms for multiple course sections, etc.

Instructors who wish to hold an exam in their classroom on the final day of classes do not need to fill out the request form. In this case, it is the responsibility of the instructor/department to provide exam booklets.

Entering course section exam information into SISC exam tabs

Exam contacts consolidate department exam information and enter their requests via the exam tabs on the Student Information System Centre (SISC). See the Exam Tab Manual for more detail

The SISC exam tab only accepts exam requests during certain periods. Please see Dates and Deadlines for specific details. All Summer exams can be added at the beginning of the summer; it is not necessary to wait for each exam period.

Verifying exam information using the Exam requests report

  • The exam tab requests report is updated manually once a day.
  • Most exam requests roll over from the previous session and require updating.

If an exam is not in this report, it will not be scheduled. Please double check that all exam information is correct.

Publishing the exam schedule

Scheduling Services notifies departments and publishes the exam schedule. Please see Dates and deadlines for specific dates.

Making changes to a published exam schedule

Once published, the exam schedule contains firm exam dates and times and strict procedures apply to making change. Approval to change the date and/or time of an examination requires signatures from the following three people:

  • instructor
  • department head or designate
  • dean or director

It should be noted that even in cases where all three signatures are provided, it may be impossible for Scheduling Services to make a change due to student clashes or lack of available space. The final determination is the responsibility of Scheduling Services. In all cases, the department will be notified, and all changes will appear on the exam website.

If approval is given to change an examination, any student who wishes to write at the original time must be allowed to do so.

Distributing the exam schedule

The examination coordinator posts the schedule on the exam website and the Student Service Centre (SSC). A paper copy of the exam schedule is mailed to those departments that have scheduled exams on the official exam schedule.
