Tiers

When scheduling buildings and rooms for sections, Tier 1 and Tier 2 refer to the access a department will have to a specific building. If a department has Tier 1 access to a building it means that they have priority to book into the unrestricted rooms in that building. In between certain dates the building is only available to the Tier 1 holders for that building. After a certain date the building is released for Tier 2 booking. Tier 2 access allows all departments to book in any remaining unscheduled non-restricted rooms.

Optimizer

The Optimizer is a program that is run once each session. When the Optimizer is run, the system tries to find rooms for sections that do not have one. The Optimizer will look at the room types, preferred buildings, and regions indicated on the section. If a suitable room is available, the Optimizer will schedule that room for the section. There is no guarantee that the Optimizer will locate a room. If it cannot, we may recommend widening the criteria for room type and preferred building – or changing the time that the course section is offered.

Instructor access to the FSC

The instructor needs an FSC login ID and password to be given access to the FSC. To request access, complete the SIS Administrative Access Form. Once the instructor receives an ID, please email your request to add an instructor (so that they appear in the instructor drop down menu) to sis.security@exchange.ubc.ca. Please also include the course codes for the instructor.

Viewing your courses

If the course has been approved by Senate, it will appear in the Curriculum Management section of the FSC. You may need to open a new version of the course if it has undergone credit or title changes or if it has been recently approved by Senate. To open a new version of the course so that you may schedule it, email schedulingservices@students.ubc.ca.

Booking a room for a mid-term

If sections require a room for a mid-term exam, you can make an ad hoc booking through Scheduling Services. Do not schedule a room for a mid-term exam using the Faculty Service Centre (FSC). Please submit a request for a room by completing the room booking form.

An event room calendar is available on the FSC. Click on "Events Calendar" and then "Schedule." This tool lets you view a schedule of non-restricted rooms. Different grids are available (e.g., daily, weekly, monthly). You may check room availability and view the sections or events scheduled in the room.
